Business Support Coordinator

Role Responsibility

Broadmeadow Registered Care Centre is looking for someone with excellent communication skills to, as part of a team, provide a high standard of administration support, with good IT and office skills and the ability to organise work and work to deadlines.

We are seeking a proactive team member with the ability to provide front of house duties with a broad range of administrative tasks to support the smooth running of the service. Broadmeadow is a 48-bed adult short stay centre supporting people with short residential stays for the purposes of respite, rehabilitation and assessment of care needs. We are passionate about high quality care and empowering people to live independently. We are a busy site and host a range of other KCC and NHS services within the building. 

To succeed in this role, we are looking for someone who has;

- Brilliant interpersonal skills and experience of working as the first point of contact.

- Literacy and numeracy skills.

- Knowledge and understanding of a wide range of administration tasks.

- Knowledge and understanding of financial tasks.

- Knowledge and understanding of Word, Excel, and Outlook

- Knowledge and understanding of Data Protection and Confidentiality.

- Proactive approach to their own development.

The Post is for 33.5 hours per week to be worked over 4 days between 0800 - 1700 Monday to Friday 

The work is varied - you will be expected to deal with a wide range of issues and work collaboratively with colleagues, sharing duties as required throughout the team. The list below are some of the duties within this role but are not exhaustive.

Regular duties include:

 - Managing phone calls, referring them to the correct & appropriate person

- Receive visitors in a courteous, prompt, and efficient manner.

- Minuting regular team meetings.

- Purchasing resources and processing expenses

- Weekly banking, Imprest and amenity

- Process, maintain and monitor financial records relating to expenditure and income.

- Administer personnel procedures on behalf of the line manager/team, including calendar management, and the recording and monitoring of annual leave, sickness absence.

- Keeping spreadsheets and data up to date.

- Being available throughout the day to support the team with any queries or requests.

- Maintaining and monitor all office systems, including databases and filing systems, both computerised and manual

- Knowledge and understanding of all other administrative tasks to cover for annual leave and sickness.

Qualities we are looking for in candidates include proficiency in Microsoft systems (Word, Excel, Outlook, and Teams), excellent organisational skills, ability to prioritise and proactively manage your workload whilst responding to urgent requests and deadlines.
